Data Retention Policy
A proportionate approach to keeping and securely disposing of business and personal records.

Purpose and scope
This policy covers enquiries, service records, waste documentation, finance records, personnel information and security incident records. Keeping a record indefinitely simply because it may be useful is not our approach.
Retention decisions
Records should have a defined purpose, responsible owner and retention period or review trigger. Consider the service contract, statutory record-keeping duties, claims, regulatory requirements and the sensitivity of the information. Unsuccessful enquiries should be reviewed when the enquiry ends rather than treated as a permanent marketing list.
Waste and finance records
Applicable waste and accounting rules determine minimum periods. In England and Wales, non-hazardous waste transfer notes are generally kept for at least two years; hazardous consignment documentation has different requirements, including three years for relevant holders and longer rules in some recipient circumstances. Other UK nations and specific activities may differ. A legal hold overrides routine deletion where necessary.
Disposal and requests
At the end of the justified period, securely delete, shred or anonymise records as appropriate. Restrict access while they are held. An erasure request is assessed against any ongoing legal obligation or other lawful reason to retain information. Ask sales@qualitywaste.co.uk about a particular record.
